The packages offered are exclusive to InEvent clients who have an active subscription. This ensures that only current subscribers can access these rental or purchase options, as part of their ongoing service agreement with InEvent.
Full payment for your order is required no later than 15 business days before the scheduled event date. This ensures we have sufficient time to process your order and prepare for delivery or setup. Please understand your rental will arrive late if payment is not complete by the above date.

If you're submitting custom designs for pre-printed lanyards and badges, the designs must be sent to us at least 15 business days prior to the delivery date. To ensure compatibility, all designs must follow the specific dimension templates provided and be submitted in the .ai (Adobe Illustrator) format. If you are unable to submit using the format above, we can offer our Designer Services (extra fee) to complete this task for you. If the above deadline is not met, we will use solid colors instead of your custom design.

If you would like to review or compare badges and lanyards, you may request blank samples. These will be free of charge if you buy a bundle. If you do not buy a bundle, you may return the samples at your own cost to our office to be free of charge. In case of no returns, charges will be applied. These must be requested 15 days in advance and return date must be organized directly with your Project Manager. If you wish to review samples of your final custom designs, please request them at least 15 business days before the delivery date. We encourage to start this process as early as possible to ensure enough time for any revisions or adjustments before production begins. No changes will be allowed once the deadline has passed.

The items and quantities included in each bundle box are predetermined and cannot be changed. However, you may request alternative color or size options if available. Please inquire in advance to confirm any available variations.
Shipments to locations outside of Tier 1 and Tier 2 shipping zones will take longer to arrive. Please plan accordingly and allow extra time for delivery if your location falls into a different tier. For specific delivery estimates, feel free to reach out for clarification on shipping rates and timelines.
Upon receiving the rented devices, it is crucial for the customer to immediately inspect the entire shipment. This includes checking that all items are present and confirming that the devices are in proper working order. Make sure your Project Manager is with you in the call or record a video during the inspection. Prompt inspection helps ensure any issues can be resolved before the event begins.
The customer is responsible for returning all rental devices in the same condition as they were provided at the start of the rental period. Any damage or missing components may result in additional fees, so proper care and handling during the rental period are important.
The standard rental period lasts 7 days, giving you enough time to test the equipment for your event and return it without extra charges, provided it is returned on time. If you require the rental to be longer, please request a quote from our team.
The rental will arrive 2 days before the event. The rental period officially begins on the day of the equipment's arrival. This ensures that you have the devices in hand for testing, security and validation. You will receive a tracking number for your rental package once it has shipped.
Specific delivery date and time requests are not accepted. The selected delivery date will be treated as an estimate only. Shipments may arrive earlier based on the transportation company’s schedule and logistics. InEvent is not responsible for early deliveries or any costs or delays resulting from the carrier’s routing or scheduling decisionners.
If the rental equipment arrives before the scheduled date, you will not be charged any extra fees. The rental period will still begin on the initially scheduled arrival day. We encourage customers to accept the delivery as soon as they delivered. Refusing a delivery will jeopardize the event timeline and InEvent will be exempt from any liability.
If you need to extend the rental period beyond the standard duration, you can request an extension. This extended rental period will be billed separately, so please plan ahead if you anticipate needing more time.
Late fees will apply if the rental devices are not returned on time, unless you have arranged and paid for an extended rental period in advance. Be sure to return the equipment promptly to avoid additional charges.
Some bundle orders may be fulfilled by certified third-party providers. This means that while your order will be handled by trusted partners, it may not come directly from InEvent. Rest assured, all third-party providers meet our standards for quality and service.
A return label will be included inside your delivery box. This label must be used to send back any rental items, ensuring a proper return process. To return, pack the rental items in their original delivery box, seal the package, and drop it off at the nearest FedEx store.
If you'd like to recycle used badges and lanyards after your event, you may return them to us for recycling. Simply make a request, and we’ll provide further instructions on how to proceed.
Travel time for on-site technicians is considered part of their total labor hours. This means that the time spent traveling to and from the event location is included in the work schedule. When calculating labor costs, InEvent will always charge two additional days for total travel time, including one day for travel to the event and one day for the return trip. It's important to account for this when planning the event schedule to ensure full coverage for technician support.
To ensure the appropriate allocation of on-site support, you must provide the full event schedule and expected labor hours for technicians at least 21 business days before the event. This allows us to properly prepare staffing and ensure all necessary arrangements are in place for smooth execution.

Lodging for the Technician can be provided by the client or by InEvent. Pricing for the Technician lodging is listed on the page above. If the quote does not include lodging for the Technician, it means the client must provide lodging for the Technician.
Any extra items requested beyond the original box content will incur additional delivery fees, unless otherwise specified as free shipping. Be sure to confirm shipping costs when adding items to your order.
Our hardware is shipped from various locations around the world, including New York, Las Vegas, Miami, London, Hamburg, Bucharest, Buenos Aires, Melbourne, Tel Aviv.
In order to be eligible for a refund request, customers must file a complaint - with images and videos of supporting evidence - of malfunctioning hardware. The complaint must be formalized via email to the Project Manager no later than six hours from the event's end. Customers will NOT be eligible for a refund if: (x) Failure to complete inspection upon receiving rental devices with supporting video evidence. (x) Hardware is physically damaged during the event. (x) Malfunctions not reported within the established time.
All prices for products and services are stated before taxes. Applicable sales, value-added, goods and services, or other transaction taxes will be calculated based on your billing address and jurisdiction and applied after your invoice is issued. You are responsible for any such taxes, and the total tax amount will appear in your order summary before you complete your purchase.
